When you register through this website or at one of our hotels we ask for certain pieces of information. – We may pass your personal information between the hotels who are members of the Latona Leisure group for the purposes listed above. The Latona Leisure group includes Limpley Stoke Hotel, Leigh Park Hotel, Walton Park Hotel, Webbington Hotel and Spa. – We pass your personal information to third party suppliers and services providers, such as the Best Western Group of companies who use your personal information in order to provide services to us or on our behalf, for example, marketing mailings. All such third parties are bound by the terms of our Privacy Policy and they are not permitted to use your personal information for their own purposes;

– Where we need to do so in order to enforce our rights or protect our interests (for example, in order to enforce the terms of any contract that we have with you) or those of others (for example the rights and interests of other customers).

If you opt-out of receiving marketing communications, we will keep a record on our system that you do not wish to receive communications from us.
Your rights
You have the right to require us to correct any inaccuracies in the personal information we hold about you. You also have the right to ask for a copy of the information held by us. As a security measure, we may require proof of your identity before we make any changes to your information or provide a copy of your information. We reserve the right to charge a small administrative charge if you ask to access your information.

COOKIE POLICY

Website Marketing Optimisation
Our website may also use software to improve your user journey by identifying areas you have visited before or areas you may be interested in. To do this we may drop persistent and session cookies onto your computer or device. The information collected is safely stored and is also used for aggregated and statistical reporting. We will not collect any Personal Data.

Please note: If you wish to make a booking online, the our booking engine and the Best Western International booking engine requires you to have cookies enabled in your browser in order to complete the online reservation. This is a necessary part of our secure system for online booking. If you do not wish to have cookies enabled then you can telephone one of our hotels or central reservations agents to book with us over the telephone.

We may update this Privacy and Cookies Policy from time to time to ensure that you are kept informed of how we use your personal information. We will notify you of any significant changes by flagging the updated policy on our website or by sending you an email.
CCTV Policy
Ownership
The Latona Leisure Group operates a CCTV surveillance system throughout public areas of all hotels, with Images being monitored and recorded in each location. The system is owned and managed by the Latona Leisure Group.
The responsible Manager/s are the individual hotel management teams, Company Operation Manager/s and the Managing Director.
Compliance
Images obtained from the system which include recognisable individuals constitute personal data and are covered by the Data Protection Act.
This policy has been drawn up in accordance with the advisory guidance contained within the Information Commissioner’s CCTV Code of Practice and the Home Office Surveillance Camera Code of Practice.
Purpose
The company’s registered purpose for processing personal data through use of the system is crime prevention and/or staff monitoring. This is further defined as:
CCTV is used for maintaining public safety, the security of property and premises and for preventing and investigating crime, it may also be used to monitor staff when carrying out work duties. For these reasons the information processed may include visual images, personal appearance and behaviours. This information may be about staff, customers and clients, offenders and suspected offenders, members of the public and those inside, entering or in the immediate vicinity of the area under surveillance. Where necessary or required this information is shared with the data subjects themselves, employees, police forces, court or tribunal, security organisations.
The operators of the system recognise the effect of such systems on the individual and the right to privacy.
Description
The system is intended to produce images as clear as possible and appropriate for the purposes stated. The system is operated to provide when required, information and images of evidential value.
Cameras are located at strategic points throughout all of the hotels, at entrance and exit points of buildings.
Signage is prominently placed to inform staff, guests and members of the public that a CCTV installation is in use.
Operation
Images captured by the system are recorded continuously and may be monitored. Images displayed on monitors within each hotel are not visible from outside the location of the DVR and monitor and access is limited. Images can also be monitored remotely by the responsible managers.
All staff entering this office are made aware of the sensitivity of handling CCTV images and recordings.
Information Retention
No more images and information shall be stored than is required for the stated purpose. Images will be overwritten on a rolling 28 day basis.
Access
Access to images is restricted to those who need to have access in accordance with this policy.
Disclosure of recorded material will only be made to third parties in accordance with the purposes of the system and in compliance with the Data Protection Act.
Anyone who believes that they have been filmed by the system can request a copy of the recording, subject to any restrictions covered by the Data Protection Act (“Subject access request”).
By data subjects (or their legal representatives), pursuant to an access request where the time, date and location of the recordings is furnished to the hotel management or the responsible manager at Latona Leisure Group.

Feedback
Hotel guests, staff or visitors should address any concerns or complaints over use of the hotel’s CCTV system to operations@latonaleisregroup.com or by telephone on 01225 722369. Hotel staff should address any enquiries or concerns relating to the system to their line manager in the first instance.
Annual Review
This policy was approved on 30 September 2019. It will be reviewed annually to ensure that the purpose still applies.
